Training Documentation for PLU Assignment

Introduction

This training documentation provides detailed instructions on the PLU (Price Look-Up) assignment process for different types of products at Mellow Mushroom stores. The process is managed via the BeerBoard (BB) automated system. This document covers core products, non-core products, and bottles & cans.

End-to-End Process

PLU assignment begins with the user changing a product from the Current Draft Line Up or adding a packaged (bottle or can) product. 

Current Draft List

On the Product Management Widget, click on the draft line that will be changed to bring up the Manage Line window. Within this window, select Change Brand.  In the Change Brand window, use the search field to type the name and select it. 
Be sure to fill out the Keg Cost and size as accurately as possible. The information placed here can affect the insights. The closer to the actual amount, the better.

Click Save once done. After the final confirmation is clicked, the change will be finalized and an email will be sent to the user. An additional pop-up will appear reminding the user of the steps they need to complete within their POS. Check "I understand . . . " and then Confirm and Exit.

MM PLU Sequence

Package

On the Product Management Widget, use the drop-down to switch to Bottles & Cans. Click the Add New Brand button and within the Add New Brand window, use the search bar to locate the brand, fill out the required fields, then click Add. The product will be added and designated an available PLU.

Upon confirmation pop-up, it is strongly advised the user complete the required steps within their POS. An email is sent automatically to the user, with the generated PLUs and items, should they not be able to complete them during the pop-up. 

Types of Products Requiring PLU Assignment

Core Products

  • Definition: Products carried by all stores.
  • PLU Consistency: Same PLUs for all locations.
  • Products: Include low and high-gravity items for draft and packaged goods.
  • PLU Assignment: Managed by the MM Beverage Team based on a 12-month sales history.
  • Glass Sizes: Items and PLUs provided by MM

Non-Core Products

  • Definition: Products selected at the discretion of each location's management team.
  • PLU Uniqueness: Each location has a unique range of PLUs.
  • Product Types: Include low and high-gravity products.
  • PLU Recycling: PLUs are rotated and recycled. New products are assigned from a pool of unassigned PLUs specific to each store. When a non-core product is removed from the Current Draft List or Bottles & Cans list, the non-core PLUs will return to the sequence to be reused and can be reassigned in sequential order when new non-core products are added

Bottles & Cans

  • PLU Uniqueness: Assigned a unique range per location.
  • PLU Assignment: New products are assigned from a pool of unassigned PLUs specific to each store. When a non-core product is removed from the Bottles & Cans list, the non-core PLUs will return to the sequence to be reused and can be reassigned in sequential order when new non-core products are added

Core Products

Low Gravity Brands

  • PLUs: 4 pre-assigned PLUs in this order: Glass, Pitcher, Super, Sample.

High Gravity Brands

  • PLUs: 2 pre-assigned PLUs in this order: High Grav, Sample.

Non-Core Products

Low Gravity Brands

  • PLUs: 4 PLUs assigned in this order: Glass, Pitcher, Super, Sample.
  • PLU Range: Unique to each store.

High Gravity Brands

  • PLUs: 2 PLUs assigned in this order: High Grav, Sample.
  • PLU Range: Unique to each store.

Bottles & Cans

  • PLUs: Single PLU assigned per location.

Emails & Pop-Ups

  • Once the Product is added to the Current Draft List or Bottles & Cans, a popup confirming selections will appear

  • Once confirmed, the user who made the changes will receive an email with all assigned PLUs

    The user who made the brand change in SmartBar is also responsible for updating their POS

Additional Information

  • If a product is not in the database, it will be vetted and verified before sending PLUs. This process could take up to 2 business days (M-F).
  • Upon release to production, all custom sizes and sizes that fall outside of Glass, Pitcher, Super, Sample, High Grav will be removed
