Invoice Capture Tips

When notified that an image used for invoice capture is not accepted due to quality, review the following to resubmit a better image.

Invoice capture, when attaching to an order to be received or uploading an invoice without an order, it is imperative to ensure the image used is clear and meets BeerBoard's application requirements. 

These requirements are, but not limited to:

  • Nonblurry image

    • Place the invoice on a clear, flat surface. Line up the invoice to the capture window, keeping it in the frame to turn green.
    • Tap on the screen to have your camera focus. 
    • Make sure the invoice is aligned straight within the frame, with all corners visible. This helps the system capture the entire document without cutting off important information.
  • Adequate lighting

    • Avoid heavy shadows cast from objects or yourself that can obstruct text.
    • Avoid direct sunlight, as it can cause reflections that make the invoice hard to read.
  • No part of the invoice is blocked by objects, hands, shadows etc

    • Ensure that nothing is covering any part of the invoice (such as hands, pens, or other objects) to prevent key details from being missed.
  • Contains the complete invoice.

    • If invoice has multiple pages, ensure that only one page is captured at a time while using the "Approve & Add Another" button after the first image is captured.
    • If the invoice is too large, use the multi-page function mentioned above, ensuring that products aren't double-captured
    • Ideally, just capture the invoice itself with no additional items.
  • Avoid Zooming In or Zooming out too much
    • Instead of zooming in, bring the camera closer to the invoice if necessary. Zooming can reduce the image quality and make it harder for the system to recognize text.
    • Alternatively for longer invoices, trying to capture the whole invoice can cause the image to be not legible and thus unable to read. Use the multi-page capture to section out the invoice.
  • Review the Image Before Submission
    • After taking the picture, double-check that the image is clear and all information is visible before submitting. Retake the photo if there are any issues.

By following these tips, users can help ensure that their invoice capture is smooth and processed without delays.
