Back Office Integration Setup

It is now possible to integrate with your Back Office software though SmartBar!

Back Office Integration (released Sept 2022) is a self-guided user experience to connect SmartBar with back office systems. You now have the ability to select your back office system from a pre-populated list in SmartBar. Corresponding options will become available to allow our customers to select, authorize, and configure categories.​ 

If your back office system does not appear in the drop down list, please email our support team to request a new integration

Follow the steps below to set up your back office system integration with BeerBoard:

Important! BeerBoard cannot update any back office system without setting up integration first.

 

Once your integration set up, here is how it works:

  1. Bar or Restaurant manager places new order in SmartOrders
  2. Order is sent to the distributor(s) to review - Distributor can opt to accept, modify, or cancel from the PO that BeerBoard sends. Notifications will be sent to the contact information saved in your profile
    1. Changes to a product's distributor must be done from the source; ie. Crunchtime, R365, etc. Unless the users' BO provider is notified, the users' source of truth will be their BO, not SmartBar and changes made will not be permanent. 
  1. If the order is accepted by the distributor, the distributor will process on their end as normal
  2. Distributor delivers the order to your bar or restaurant
  3. Bar or Restaurant Manager confirms or updates Order Details to match the invoice from the distributor and marks order as Received
  4. Once the order is marked as Received in SmartOrders, this kicks off our process to update your back office system
  5. Once invoice matching is complete, your back office system is updated!

When making manual inventory changes, you will be able to make the change initially, but some time later, the change reverts back. SmartBar pulls data from the BO and relies on it as a source of truth. Changes must occur at the source to take a permanent effect. 

If you would like the source of truth to be SmartBar, then you will need to contact your CSM and BO provider. Notify the provider that you wish to allow the integration to flow from SB to BO, thus turning off the inventory sync module. This way, changes made within SmartBar are reflected in the Back Office.
